Voucher Management

In this guide, we will cover the steps to setting up and managing Vouchers via your ePOS Hybrid Admin Panel.

 

Firstly, log into your Admin Panel via https://eposhybrid.uk/ or through the ePOS Hybrid Operator App.

Once logged in, select Voucher Management on the left-hand side of the screen, followed by Voucher Management again.

 

The Gift Voucher Management screen will open, allowing you to set up and manage your Vouchers.

When creating a new Voucher, three options are available on the top-right corner of the screen: Single Purpose Voucher, Retail Voucher and Third Party SPV. 

 

Firstly, let’s review the process to set up a Single Purpose Voucher.

After selecting Create Single Purpose Voucher from the top-right corner of the screen, the Single Purpose Voucher screen will open, confirming at the top of the page that Extra Charges, Staff Discounts, Coupon Codes and Redeemed Loyalty Points don’t apply for a Single Purpose Voucher.

 

Firstly, enter the Title and Description of the voucher, followed by selecting the Validity Settings - confirming whether the voucher is valid for a certain number of days from date of purchase, or whether it will automatically expire on a certain date. Use the text/calendar box for the appropriate option chosen.

 

Next, specify the maximum number of times this voucher can be sold, and select whether the voucher will be printed using your receipt printer or sent by email to the customer.

After specifying the Voucher Printing Mode, confirm the applicable VAT settings if required, Zero Tax can be selected if no VAT is applicable.

 

The final setting allows you to either select an existing meal deal using the Select from Existing Meal option, or use the Create a New Meal option to add item combinations to be valid with the voucher, clicking the name of the menu/item to add this to the combination.

Once the appropriate options have been selected, click Preview to get a preview of the voucher in receipt format, then click Submit to add your new Single Purpose Voucher.

 

Next, let’s move on to Retail Vouchers. After selecting Create Retail Voucher, the Retail Voucher screen will appear.

 

Like the Single Purpose Voucher option, all fields in the screen are identical with the small exception of Plastic Card being added as an option under Voucher Printing Mode. Once all the necessary fields have been filled, click Submit to add your new Retail Voucher.

 

The final Voucher option available is the 3rd Party SPV. To create this Voucher type, click the New 3rd Party SPV button on the top-right corner of the Voucher Management screen to open the 3rd Party SPV screen:

 

Firstly, enter the Title, Voucher Description, Voucher Price and Total Amount in the relevant text fields.

After entering the above information, enter the necessary Tax Settings (selecting Zero Tax if no VAT is applicable).

Next, specify the Item Combination valid for the Voucher, selecting Add once the Combination Title and the applicable Items/Categories/Groups have been selected. Use the + Add Another Group button to add additional Combinations if required.

 

The final option for the 3rd Party SPV is to upload Voucher Codes. Use the sample Excel file to view the format, and once created, upload the file using the Browse From PC button. 

After completing the necessary fields, click Submit to add your 3rd Party SPV.

 

Once Vouchers have been created, the Voucher Management screen will list all created Vouchers with the Type, Quantity, Number Sold and Validity Period, in addition to a On/Off Status toggle.

To Edit a Voucher, click the green Edit icon in the Actions column. The blue Voucher History icon will show detailed reporting on the specific Voucher, and the red Delete icon will remove any unnecessary Vouchers.


To process a Voucher on the ePOS Hybrid Operator App, select Retail Voucher from the Payment Screen when completing an order to open the Voucher pop-up, and enter the relevant code to apply the voucher to the order.
