In this guide, we will detail the steps to setting up and managing your Loyalty Scheme via the ePOS Hybrid Admin Panel.
To set up your Loyalty Scheme, log onto your Admin Panel at https://www.eposhybrid.uk/ or via the ePOS Hybrid Operator App. Once you have logged in, select Loyalty Management, followed by Loyalty Management again.
The Loyalty Management screen will display the Loyalty Scheme options and provide statistics once a scheme has been established, detailing Total Customers Registered, Total Points Collected to date and Total Points Redeemed to date (with the monetary value):

When setting up your Loyalty Scheme, you have two options: a Physical Card or Digital Loyalty Program, which can be toggle on or off using the Toggle option next to each scheme.
While both schemes are set up in the same manner, the Physical Card scheme requires you to have physical cards to provide to customers, meanwhile the Digital scheme only requires customers to register with their email address.
To set up your Loyalty Scheme, first choose which program you wish to run, then click the cog icon on the far right of the screen hovering over the icon will display either Physical Card or Digital Card, depending on the scheme chosen.
After selecting your chosen Loyalty Scheme and clicking the cog icon, you will open the Program Default Settings screen, with the setup for both schemes completed in the same manner (screenshots below):


Firstly, use the Loyalty Program Name field to name the scheme.
Next, you can choose to have the Loyalty Scheme run for a specific period using the Start/End Date fields, or alternatively use the Start Immediately option to have the scheme run indefinitely.
After naming the Loyalty Scheme and choosing the dates/indefinite options, move on to the Points Collected for every £1.00 Purchase field to enter the number of points customers earn for every £1 spent.
Next, you can further customise the Loyalty Scheme by specifying the monetary value of a specific number of points earned in the Amount earned for every ___ points is £___ field.
Using the next field, you can specify the multiples that Loyalty Points can be redeemed in, for example only allowing points to be redeemed in multiples of 100.
If you wish to further expand your Loyalty Scheme, click the Advance Setting button. This will open the Purchase Amount and Meal Items options - these are not mandatory fields and are entirely optional.

With the Purchase Amount field, you can allow customers to earn additional points if they spend a certain amount, for example spending £50.00 earns them an additional 10 points.
The Meal Items option can be used to allow certain menu items to earn customers additional points if purchased. To add items, type the chosen item in the Search Item Here field, click on the item and then the green Add button to the right of the field. This will then add the item to the below box and allow you to add further items if necessary.
The final setting allows you to set the number of years after which the customer’s loyalty details will expire if unused.
Once you have completed all necessary steps, click the green Submit button to complete your Loyalty Scheme setup.
New customers can be registered to your Loyalty Scheme directly from your ePOS Hybrid Operator App.
To complete the registration, select Extras on the Operator App, then scroll down to Voucher Management and select Loyalty Card Registration (screenshot below):

After selecting Loyalty Card Registration, you will see the below screen on your Operator App.

Use the Program Type dropdown box to select the Loyalty Scheme the customer is being registered for, selecting Digital Card for the Digital Loyalty Scheme or Physical Card for the Digital Loyalty Scheme.
If registering the customer for the Digital Loyalty Scheme, only the Name and E-mail fields must be entered, the other fields are optional.
If you are registering a customer for the Physical Loyalty Scheme, a Card ID field will also be displayed, allowing you to enter a customer-specific card number from your stock of Loyalty Cards. A sixteen-digit card number must be entered to successfully register the Card ID. As with the Digital Loyalty Scheme option, only the Name and E-mail fields are mandatory (in addition to the Card ID field).
(NOTE: Please be aware that we do not supply physical cards for use with the Physical Loyalty Scheme, these would need to be obtained externally.)
To review active registered customers, click the Admin icon on the far right of the chosen scheme. Hovering over the icon will display either Physical Card Admin or Digital Card Admin depending on the chosen scheme.

The Loyalty Program Admin screen will display the name and email address of each registered customer, their digital/physical card ID, the number of points collected, redeemed and remaining, the last date they used their loyalty details and also allows you to remove the user manually, if required.
To Redeem a customer’s earned Loyalty Points once the Loyalty Scheme has been activated and the customer has registered, process their order through to the Payment Screen on the Operator App.
When you are on the Payment Screen, select the blue Loyalty Points button on the bottom-right corner of the screen to open the below pop-up message:

(Note that earned Loyalty Points cannot be used for delivery charges, only the items being purchased.)
Enter the customer’s E-mail address or Card ID (depending on the chosen Loyalty Scheme) to open the below screen:
Once the customer’s details have been entered, the box will confirm the number of points the customer has earned, redeemed previously and how many points are available to redeem on this order.

Enter the number of points the customer wishes to use, then tap the green Redeem button to redeem their points against the order.
Once the customer has completed their payment and no balance is due, tap Finish. This will open a further pop-up box, allowing the customer’s loyalty points earned during the transaction to be added on.

Once their Card Number or E-mail Address has been entered (depending on the chosen Loyalty Scheme), tap the green Add button to add on the customer’s earned Loyalty Points.
